Joining as a Zoom panelist, how pre-recorded sessions play, and running Q&A and polls from the stage.

Your sessions are listed in My portal under Your sessions, each linking to its public page. That public page is the room: it's where your audience reads your abstract, watches the video, asks questions and answers your polls. Open it before the day so nothing surprises you.

๐ŸŽฅ Joining a Zoom session as a panelist

Your panelist link arrives by email from Zoom โ€” not from this site. When the organizers sync the session's panelists, Zoom emails each speaker a unique personal join link. It's the only link that gets you in as a panelist rather than an attendee. Search your inbox for it, check your spam folder, and don't share it โ€” it identifies you specifically.

The green ๐Ÿ”ด Join live now button on the session page is the attendee route in. You can use it to see what the audience sees, but for presenting, use the panelist link from Zoom so you get camera, microphone and screen-share rights.

  1. Find the Zoom email well before the day. If you can't, tell the organizers now โ€” they can re-sync the panelist list and Zoom will send it again.
  2. Check the email address matches. Zoom sends the link to the address the organizers have on file for you. Wrong address, no email.
  3. Join early โ€” 10 to 15 minutes before, so there's time to sort audio, video and screen sharing with whoever is hosting.
  4. Keep the session page open in a second tab so you can watch the Q&A queue while you present.

๐Ÿ“ผ Pre-recorded sessions that play "as live"

Some sessions are on-demand video scheduled to premiere at a set time. Your recording plays to everyone in sync โ€” the player is pinned to the live edge, so an attendee who joins late lands where everyone else is and nobody can skip ahead. It shows a โ— LIVE badge while running.

The point of the format is that you are free while the video plays. Sit in the Q&A on your session page and answer questions in real time, then stay for a live discussion at the end. Attendees get the polish of a recording and a real conversation with you.

Watch your own video during the premiere. You see exactly what the audience sees, and you'll know which minute a question refers to.

โ“ Running the Q&A

Questions appear on your session page ordered by votes, so the ones the room most wants are always at the top โ€” work down the list rather than answering in the order they arrived. Each shows its author, or Anonymous if they chose that. Organizers and moderators can mark a question โœ“ answered once you've dealt with it, which is how the audience knows you didn't skip them.

There's also a ๐Ÿ–ฅ Projector view link on the session page: a clean, big-text version of the question queue designed to go on the screen behind you or on a confidence monitor. Handy for in-room sessions.

โ„น๏ธ Note
Organizers can moderate the queue, so at some events questions are reviewed before they appear. If the queue looks emptier than the room feels, ask whoever's moderating.

๐Ÿ“Š Polls

Live polls appear above the Q&A on your session page and are created by the organizers, not from the speaker portal โ€” so agree your poll questions with them in advance and ask them to open each one when you reach it. Results come in live as bars with percentages, which are readable straight off the screen while you talk.

โญ Ratings and feedback

From your session's start time, attendees can rate it one to five stars and leave a comment. You don't see those in the portal โ€” the organizers do, in their reports โ€” so ask them for your numbers and comments afterwards. It's the most useful feedback you'll get.

๐Ÿ“š Where the recording ends up

If the organizers recorded your session through Zoom, the recording is downloaded and published automatically once Zoom has processed it โ€” usually a while after you finish, not instantly. It then appears:

  • on your session page as a โ–ถ Watch recording button, and
  • in the event's ๐ŸŽฅ Videos library, credited to you.

Playback is restricted to ticket holders (and speakers and organizers), so the recording isn't a public link you can share around โ€” point people at the event instead. The organizers can also generate an AI Recap that appears on the session page as a written summary of what you covered. If you'd rather your session weren't recorded or published, tell the organizers before the event โ€” they control that setting.
