๐Ÿ›‚ Onsite: check-in, kiosk & badges

Scan people through the door, run a self-service kiosk, and print badges.

Two links on the event hub handle the door: ๐Ÿ“ท Check-in scanner and ๐Ÿ–ฅ Kiosk mode. Both run in a browser on any phone, tablet or laptop with a camera โ€” no app to install, no hardware to rent.

๐Ÿ“ท The check-in scanner

๐Ÿ“ท Check-in scanner opens a camera view headed Check-in โ€” Your Event. It scans continuously; hold an attendee's ticket QR in frame and it fires by itself. A colored panel tells you what happened:

โœ“ Jane SmithGreen โ€” checked in, with the name confirmed so you can greet them.
Already checked inAmber โ€” they've been through already. Not an error.
โœ— Ticket revokedRed โ€” "Refunded or invalidated." Send them to the registration desk.
โœ— Wrong eventRed โ€” a valid ticket, but for a different event.
โœ— Not a valid ticket codeRed โ€” that QR isn't one of ours at all.

There's also a session picker. Left on event entry, scans check people into the event. Choose a session and scans check them into that session instead โ€” which is how you get per-session attendance numbers and how attendees earn session check-in points. Sessions with a physical presence are offered; on-demand video sessions aren't.

๐Ÿ’ก Tip
Put one device per door on event entry, and hand a phone to whoever is on the door of your popular breakout rooms with that session selected. Per-session attendance is the data you'll most want next year when sizing rooms.

๐Ÿ“ด Scanning with no signal

Venue wifi fails at exactly the wrong moment, so the scanner downloads a manifest of the event's valid tickets when it loads and confirms 1,240 tickets cached for offline.

With no connection it validates against that cached manifest and keeps working โ€” showing โœ“ Jane Smith (offline) โ€” and queues each scan. When signal returns, the queue uploads itself, marked as an offline sync.

  1. Open the scanner on good wifi before the doors โ€” on every device you'll use. That's when the manifest downloads.
  2. Watch the status line. "offline โ€” using manifest from 8:42 AM" is fine; "offline โ€” no manifest cached!" means that device never loaded one and cannot validate anything.
  3. Keep scanning through an outage. Nothing is lost.
  4. Get every device back online before you pack up so its queue flushes.
โš ๏ธ Heads up
A cached manifest is a snapshot. Someone who buys a ticket after the manifest downloaded won't be in it, and a refund issued afterwards won't be either โ€” so reload the scanner page periodically through the morning while you have signal. Queued scans live in that browser on that device: don't clear browsing data and don't let the battery die mid-queue.

๐Ÿ–ฅ Kiosk mode

๐Ÿ–ฅ Kiosk mode is the same scanner set up for self-service: a big Welcome to Your Event! heading, larger celebratory feedback, and no session picker and no manual entry โ€” so an unattended screen can't be used to check people into the wrong thing.

Stand a tablet at the entrance, open kiosk mode, and attendees scan themselves in while your team handles the people who need help. Put it in full screen so nobody wanders off into the console.

๐Ÿ’ก Tip
Kiosk plus one staffed scanner is the right combination for a queue: the kiosk absorbs everyone whose ticket just works, and your staffed device deals with revoked tickets, wrong events and the person who can't find their email.

๐Ÿชช Badges

๐Ÿชช Badge template on the event hub sets what appears on the printed badge:

Show company under the nameOn by default. Untick for a first-name-only culture.
Show SPEAKER band for speakersOn by default. Makes speakers findable in a crowd โ€” genuinely useful to attendees.
Footer lineFree text at the bottom โ€” the placeholder suggests venue + dates. A room number, a wifi password or an emergency number all work well here.

Press Save badge template, then badges generate as PDFs โ€” a 4ร—3 inch landscape label with the event name, the attendee, a ticket-type color band and the QR code. They print from the normal browser print dialog onto any label printer.

โ„น๏ธ Note
A badge PDF can be fetched by a platform admin, the event's organizers, or the ticket holder themselves. Because the badge carries the check-in QR, an attendee who prints their own badge at home can be scanned straight through the door.

โœ… Day-of checklist

  1. Two weeks out: set the badge template. Remind exhibitors about personal rep scan links and camera permissions. Sync Zoom panelists and confirm each speaker got their email.
  2. The day before: export the registrations CSV for the desk. Print badges. Print your scavenger hunt sheets and hide the codes. Charge every device.
  3. Doors, minus one hour: open the scanner on every device on good wifi and confirm the manifest cached. Set up the kiosk tablet in full screen. Hand session-door devices out with the right session selected.
  4. Through the day: reload scanners when you have signal so late sales are included. Use ๐Ÿ“ข Send announcement for room changes. Refresh the community board. Add a trivia question drawn from the morning's keynote.
  5. Each evening: confirm every device's queue has flushed. Check checked-in against valid tickets in ๐Ÿ“Š Reports.
  6. After: open the post-event survey and send the thank-you campaign. Read the session ratings and comments. Export what you'll want next year.
