Add what you sell, give visitors something to download, and put your team on the booth with personal scan links.

Below the main booth form, the portal has three list sections you build up item by item: Resources, Your team and Products & services. Each has a small add form at the bottom, and each addition goes live immediately.

๐Ÿ›๏ธ Products & services

This is your catalogue โ€” what you actually sell. Items appear in a Products & services section on your public booth page. Until you add any, the portal prompts you: "List what you offer โ€” products show on your public booth page."

Three or four well-described items beat twenty. Attendees are scanning a hall, not reading a price list.

๐Ÿ“ฅ Resources

Resources are the things visitors can take away โ€” a brochure PDF, a case study, a demo video, a spec sheet. They appear in a Resources section on your booth page, and the portal shows a download count next to each one, so you can see what actually gets picked up.

  1. Choose a kind: Document, Video or Image.
  2. Give it a Title โ€” this is the link text attendees click, so make it descriptive.
  3. Paste the URL. Like everything else in the portal, this is a link to a file hosted somewhere you control โ€” there's no file upload here.
  4. Press Add.
โš ๏ธ Heads up
Check every URL is publicly reachable without a login. A brochure behind your company intranet, or a cloud link set to "people in my organization only", is the single most common thing exhibitors get wrong here. Test each one in a private browser window.

Downloading a resource earns attendees points at events running the games, which is a genuine nudge โ€” it's worth having at least one thing worth downloading.

โ„น๏ธ Note
Your booth video (set on the main form) shows as a play button rather than auto-loading, and each play is counted in your Video views tile. So a short, clearly-labelled demo earns you a number you can take back to your marketing team โ€” and doesn't burn an attendee's mobile data before they've asked for it.

๐Ÿ‘ฅ Your team

Add each person working the booth under Your team โ€” their name and email address, then Add rep. What this really does is generate each of them a personal scan link, listed next to their name in the portal.

โ„น๏ธ Note
Why this matters: leads captured through a rep's personal link are credited to that rep. Without it, everything lands in one anonymous pile and you can't tell who spoke to whom โ€” or follow up properly. The portal says it plainly: "Each rep gets a personal scan link โ€” their lead captures are credited to them."

Send each person their own link (/portal/rep/{token}/scan) and have them bookmark it on their phone before the event. Opening it puts them straight into the scanner, headed Lead scanner โ€” their name, with a running count of their own captures. They never see the main booth portal, so a rep's link is safe to hand out to temporary staff.

โœ• remove takes a rep off the booth โ€” do that when someone leaves the team, since it invalidates their scan link.

โœ… Getting your booth ready in five steps

  1. Draft the copy. Paste your website into the โœจ copilot, press Draft it, then edit what it gives you. Add your logo, website and a video URL. Save.
  2. Add your products โ€” three or four, each with a one-line description and a link.
  3. Add at least one resource worth downloading, and verify the link works from a browser you aren't signed into.
  4. Add every team member and send each of them their personal scan link. Have them open it once, before the event, to get the camera permission prompt out of the way.
  5. Tick Published, save, then open your public booth page on a phone and read it as an attendee would.
