โœ‰๏ธ Email, SMS & push

Write campaigns with AI help, target segments, and reach people by email, text or push.

โœ‰๏ธ Comms on the event hub is the Communications page: email campaigns, an automatic drip sequence, SMS when it's configured, and the task assignment covered in ๐ŸŽค Speakers. Push announcements are sent from the hub itself.

โœ‰๏ธ Email campaigns

New campaign sits at the top of the page. You can write it yourself, or describe it and let AI draft it:

  1. Type a brief into the โœจ box โ€” "know-before-you-go email: parking, wifi, agenda link" โ€” and press AI draft. Subject and body fill in, and both stay fully editable.
  2. Subject โ€” required.
  3. HTML body โ€” required, and it is HTML, shown in a monospace box. Use {{name}} to merge the recipient's name.
  4. Choose your segment (see below).
  5. Set a send time, then press Schedule. The button spells out the default: "blank time = send on next sweep" โ€” leave the time empty and it goes with the next scheduled sweep rather than instantly.

๐ŸŽฏ Segments

Four controls, combined:

attendeePeople with tickets.
speakerYour speakers.
exhibitor_repBooth team members.
checked-in onlyNarrows to people actually scanned in โ€” useful for same-day and post-event mail.
marketing tagsA comma-separated list matching tags on marketing contacts โ€” including the people who signed up on an /interest/{tag} page. This is how you email a "tell me when registration opens" list.
โš ๏ธ Heads up
Tick no roles and you may reach nobody, or everybody, depending on your other filters โ€” neither is what you meant. Always set the segment deliberately, and test-send to yourself first by scheduling a campaign with a marketing tag only you carry.

๐Ÿ“ˆ Tracking

The Campaigns list shows each campaign's subject, scheduled time and status, and once sent, the numbers: ยท 412 sent ยท 236 opened ยท 74 clicked. Opens and clicks are tracked per recipient, and a click counts as an open even when images were blocked.

๐Ÿ’ก Tip
Open rates are directional, not precise โ€” image blocking and privacy proxies distort them everywhere. Clicks are the number to trust.

๐Ÿ’ง Drip sequences

Drip steps send automatically N days after each attendee registers, once per person โ€” so everyone gets the same onboarding regardless of when they bought. The page suggests the obvious three: a welcome series, know-before-you-go, and post-event follow-up.

  1. Open + Add drip step.
  2. Set Send [n] days after registration โ€” 0 for immediate.
  3. Write the Subject and HTML body. Both support {{name}} and {{email}} merge tags.
  4. Press Add step.

Existing steps list as Day 3: Your conference is coming up with a pill you click to switch between โ— active and โ—‹ paused. Pause rather than delete when you're revising one.

โ„น๏ธ Note
"Days after registration" is relative to each person, not to the event. A step at day 30 will never fire for someone who registers a week before the doors open โ€” so keep the important pre-event information in a scheduled campaign, and use drips for onboarding.

๐Ÿ“ฒ SMS

The SMS blast section only appears when text messaging is configured for the deployment. When it is, you get a single 320-character box and a Send SMS button. It goes to "attendees who added a mobile number to their profile" โ€” so reach is limited to people who chose to give you one.

โš ๏ธ Heads up
SMS sends immediately, to real phones, and cannot be recalled. It has no segment controls, no schedule and no draft step. Reserve it for genuine day-of urgency โ€” a room change, a weather closure, a delayed keynote โ€” and read it twice before pressing send.
๐Ÿ’ก Tip
If you expect to need SMS on the day, prompt people to add a mobile number well before โ€” a line in a drip step pointing at ๐Ÿ™‚ My Portal is enough. An empty number list on the morning of a crisis is too late.

๐Ÿ“ข Push announcements

From the event hub, ๐Ÿ“ข Send announcement (push + banner) takes a title and a message and pushes it to every attendee who enabled notifications on that event's page, as well as showing it as a banner.

This is the right tool for "keynote starts in 10 minutes" and "the afternoon sessions have moved to Room B". It reaches only people who opted in, so treat it as a nudge rather than a guarantee, and use email for anything people must know.

๐Ÿ“ฌ Picking the right channel

ChannelUse it for
โœ‰๏ธ Campaign emailAnnouncements, know-before-you-go, anything with detail or links. Reaches everyone in the segment.
๐Ÿ’ง Drip emailOnboarding that should follow each registration rather than the calendar.
๐Ÿ“ข PushTime-critical nudges during the event โ€” reaches only people who opted in.
๐Ÿ“ฒ SMSGenuine emergencies only โ€” reaches only people who supplied a mobile number.
โ„น๏ธ Note
Email is the only channel that reaches everyone: it's how tickets, receipts, approvals and waitlist invitations already arrive, with no opt-in required. Push needs a button press, SMS needs a phone number. Build your communication plan on email and use the others to amplify it.
