❓ Frequently asked questions

The quick answers β€” grouped by who is asking.

🎟️ Attendees

My sign-in link didn't arrive, or doesn't work.
Check your spam folder first. Magic links are single-use and time-limited, so an old one won't work β€” just request a fresh one at /signin, as often as you need. Make sure you're using the same email address you registered with. πŸ”‘ Accounts, sign-in & notifications β†’
I have a ticket but can't watch a session video.
Video and join links are restricted to ticket holders, and the check is on your account. Three usual causes: you're signed out; you're signed in with a different email from the one you bought with; or you were given a seat from a group order and never claimed it β€” an unclaimed seat grants no access. Sign in with the purchase address, and if it was a group ticket, open the claim link you were sent. 🎬 In a session β†’
A claim link says β€œAlready claimed” or β€œInvalid link”.
Each claim link is for one specific seat, and the first person to open it takes it. Ask whoever bought the tickets for a different seat's link β€” their tickets page lists one per unclaimed seat. "Invalid link" usually means the link got cut in half by an email client, so ask for it again. πŸ‘₯ Group tickets & claiming a seat β†’
How do I get a refund?
Refunds are issued by the event's organizers, not from your account β€” contact them directly. When one goes through, the money returns via your original payment method and the ticket is revoked, so it vanishes from your tickets page and its QR code stops working at the door. 🎟️ Buying tickets β†’
The session I want says β€œSession full”.
That session has a seat limit and every seat is taken. Seats free up when people drop theirs, so it's worth checking back. Note you can only hold one reserved seat per time slot β€” if you're blocked with a "you already have a reserved seat at this time" message, release the other one first. πŸ“… Agenda & My Schedule β†’
Push notifications aren't showing up.
Press πŸ”” Enable notifications on the event's landing page and allow the browser prompt β€” it's per event, not global. If the button reads Notifications blocked, your browser refused the permission and you need to clear it for this site in your browser settings. On iPhone, add the site to your home screen first; push is unreliable in Safari otherwise. πŸ”‘ Accounts, sign-in & notifications β†’
I gave my mobile number but no texts arrive.
Texting only works if the organizers have it configured for that event, and it's reserved for genuine day-of urgency β€” so no messages is usually normal. Check your number includes the country code (+1 555 123 4567) in πŸ™‚ My Portal.
Where do the recordings go?
Into the event's πŸŽ₯ Videos library, and onto each session's own page as a β–Ά Watch recording button. They publish themselves once Zoom has finished processing, which takes a while after a session ends β€” often much longer for a long session. Playback needs a ticket. 🎬 In a session β†’

🎀 Speakers

I never got my Zoom panelist link.
Zoom emails panelist links directly β€” they don't come from this site and they aren't in your portal. Search your inbox and spam folder for the Zoom invitation. Still nothing? Ask the organizers to re-run their panelist sync and to confirm which email address they have for you, because Zoom sends to that address and nowhere else. The πŸ”΄ Join live now button on the session page is the attendee route, so it won't give you presenter rights. πŸ–₯️ Your sessions & presenting online β†’
My portal is empty β€” no sessions, no tasks.
You're almost certainly signed in with a different email address from the one the organizers added you under, which creates a separate account with no speaker record. Sign in with the address on their invitation, or ask them to update it. 🎀 Your speaker portal β†’
There's no travel expenses section in my portal.
The expense form only appears when the organizers have turned travel billing on for that event. Its absence doesn't necessarily mean they won't reimburse you β€” just that it isn't handled here. Ask them. 🧾 Fees & travel expense claims β†’
My expense says β€œpaid” but I haven't been paid.
The platform doesn't move money β€” paid means an organizer marked it settled on their side. The actual transfer happens however you arranged it with them, so that's a conversation with the organizers. Speaker fees work the same way. 🧾 Fees & travel expense claims β†’

🏒 Exhibitors

I've lost my booth portal link.
Ask the organizers β€” the link is printed under your booth in their console, so they can resend it in seconds. There's no password to reset, because the link itself is the credential: bookmark the new one and keep it private. 🏒 Accessing & editing your booth β†’
The lead scanner says β€œCamera unavailable”.
The browser doesn't have camera permission for the site. Allow the camera in your browser settings and reload β€” retrying the scan won't help until you do. Have every rep open their scan link and grant permission the day before, not in front of the first visitor. πŸ“‡ Capturing & exporting leads β†’
Are my leads lost if the venue wifi drops?
No. Captures are saved to the device and confirmed as βœ“ Saved offline β€” will sync when you're back online, with a counter showing how many are queued. They upload themselves when signal returns β€” so check the counter is clear before you pack up, and don't clear the browser data or let that phone die first. πŸ“‡ Capturing & exporting leads β†’
Nobody is answering the attendees who message our booth.
Booth chats land in the booth's πŸ’¬ Chat inbox, reached from the Leads section of the portal. It refreshes itself while open, and any question left unanswered for a couple of hours emails everyone on your team list with a link to it. If those emails aren't arriving, the booth probably has no reps added β€” add them in the portal. πŸ’Ό Chat inbox & sponsor invoices β†’
Where do I find our invoice?
In your booth portal, under Invoices β€” amount, description, status, and a Pay now button on anything unpaid. πŸ’Ό Chat inbox & sponsor invoices β†’

πŸ› οΈ Organizers

How do I get access to the organizer console?
Ask an existing organizer of that event to add you: πŸ‘₯ Organizing teamon the event hub takes your email address and that's it β€” you sign in with a magic link, no account needed first. Only creating new events is restricted to platform admins, which is a deployment-level setting. πŸ› οΈ Organizer console β†’
Where do I set a session's capacity, or add a room or track?
Rooms and tracks are created by the πŸ“₯ Import agenda assistant β€” the session form lets you pick an existing room but not add one. Session capacity isn't exposed in the console at all; it's set at the data level, so ask whoever runs the deployment if you need capped workshops. πŸ“… Building the agenda β†’
An approved registrant says their payment link expired.
Approval payment links last 24 hours. Approve in batches you can follow up on rather than clearing the whole queue at once, and if one expires, the fix is to re-do the approval so a fresh link goes out. 🎟️ Ticketing & registration β†’
A session recording never appeared.
Check cloud recording was actually enabled for the Zoom meeting β€” a local recording on the host's laptop can't be collected β€” and that Zoom has finished processing it. Processing is Zoom's, not ours, so long sessions take a while. πŸŽ₯ Zoom, recordings & the video library β†’
Why is my break-even number obviously wrong?
Almost always the fixed/variable flag on your budget lines. Break-even is fixed costs divided by (average ticket price βˆ’ variable cost per attendee), so marking per-person costs like catering as fixed makes the number wrong β€” and optimistically so. πŸ’° Budget & break-even β†’
What's the one thing I should tell exhibitors before doors open?
Send each rep their personal scan link and have them grant camera permission in advance. Leads captured through a rep's own link are credited to that rep; captured through the shared booth portal they land in one anonymous pile, and the exhibitor can't follow up properly. It's the most common regret in any exhibit hall. 🏒 Exhibitors & sponsors β†’
