πŸ“‡ Capturing & exporting leads

Scan attendee badges from a phone β€” even with no signal β€” then export the lot as a spreadsheet.

Attendees carry a QR code on their ticket. Scanning it with a phone captures them as a lead β€” name, organization and contact details β€” with no typing and no hardware to rent.

πŸ“· Opening the scanner

WhoWhere
A team memberTheir personal scan link, /portal/rep/{token}/scan, from the Your team section of the portal. Leads are credited to them. This is the one to use.
Whoever holds the portal linkπŸ“· Scan attendee badges in the Leads section of the booth portal. Captures aren't attributed to any individual rep.

Either way you get a full-screen camera view. The scanner watches continuously β€” there's no shutter button. Hold the attendee's QR code in frame and it fires by itself.

⚠️ Heads up
The browser will ask permission to use the camera the first time. If it's refused you get a black panel reading Camera unavailable. and no amount of retrying helps until you allow the camera for the site in your browser settings. Have every rep open their link and grant the permission the day before β€” not in front of the first visitor.

βœ… What a scan tells you

A colored banner appears the moment a code is read:

βœ“ Lead saved: Jane Smith (Acme Ltd)Green β€” captured, with the attendee's name and organization confirmed back to you.
Already captured: Jane SmithAmber β€” someone on your team has already scanned this person. Not an error; nothing is duplicated.
βœ— Not a valid badge for this eventRed β€” that QR code isn't an attendee ticket for this event. Wrong code, or a different event's badge.
βœ“ Saved offline β€” will sync when you're back onlineGreen β€” captured to the device and waiting for signal. See below.

πŸ“ Notes and ratings

Under the camera are two fields, and they're what make the difference between a list of names and a usable pipeline:

  • Notes β€” a free-text box (the placeholder suggests "Interested in Gold plan…"). What they asked about, what you promised to send, who else to loop in.
  • Rating β€” a row of stars for how hot the lead is. Click a star to set it; click the same one again to clear it.
πŸ’‘ Tip
Set the note and rating before you scan β€” they're attached to the capture as it happens. In practice: talk to the person, type your note while you're talking, set the stars, then scan their badge as they leave. A scan with a note is worth ten without.

πŸ“΄ Scanning with no signal

Exhibit hall wifi fails constantly, so the scanner is built to work without it. When there's no connection, a capture is saved to the device and confirmed to you immediately β€” βœ“ Saved offline β€” will sync when you're back online β€” and a line below the camera keeps count: 3 leads queued for sync.

  1. Keep scanning. Nothing is lost; each capture, with its note and rating, is queued on the phone.
  2. When signal returns, the queue uploads by itself and the counter drops back to nothing.
  3. Before you pack up, check the counter is clear. If it isn't, find some signal β€” step outside, use mobile data β€” and leave the page open until it empties.
⚠️ Heads up
Queued leads live in that browser on that phone. Don't clear the browser data, don't hand the phone to someone else, and don't let the battery die with captures still queued. Sync before you leave the hall.

πŸ‘€ Who captured what

A rep scanning through their personal link has their captures credited to them, and their page shows their own tally β€” "12 leads captured by you". That attribution carries into the export, so after the event you can hand each person their own conversations to follow up rather than splitting one anonymous list.

πŸ“€ Exporting

In the Leads section of the booth portal, Export CSV downloads every lead β€” names, contact details, notes, ratings and who captured them β€” as a spreadsheet you can open in Excel or import into your CRM. The section header shows the running total, so you always know how many you have.

πŸ’‘ Tip
Export at the end of each day, not just at the end of the event. It gives your team overnight follow-up material while the conversation is still fresh β€” and it means one broken phone can't cost you a day's work.

Leads are people who handed you their details at an event; treat them accordingly and follow whatever privacy rules apply where you operate. Attendees who message your booth rather than visit it turn up somewhere else β€” πŸ’Ό Chat inbox.
